Vendor Guidelines for Technology Showcase

ACTE's goal with the Technology & Business Process Showcase is to provide education through the demonstration of leading technology products and services without the usual trade show hype. ACTE has secured the elements necessary for your exhibit. ACTE will provide the exhibiting booth, as well as a private LAN connection (to the internet) with a DCHP server and router. The router will be programmed to run most client applications, however, servers on the private LAN may not be accessed from the Internet.

All you have to do is come prepared with the proper configuration on your laptop, attach the cables, and participate in the Technology Showcase!

Booth Information

Booth assignments will be given approximately two weeks prior to the conference. All exhibitors must attend the set-up/testing session held on Sunday, 1 May 2005 (10:00 am - 2:00 pm). Security will be provided from Sunday afternoon to Monday evening.

The following is included in your single (approx 8' x10') booth:
Please note, if a double booth is confirmed, you will receive two of everything
  • One 21" LCD color monitor
  • One kiosk stand (with company color logo)
  • Resource table
  • Pipe and drape
  • Power and high speed Internet connection (Broadband Service)
  • VGA cable
  • 110V power for computer and monitor
  • 10Base T cable (RJ45)
  • Technical support
  • NOTE: Analog and ISDN lines will not be provided (all available lines will be occupied by network)

The following is included in your exhibitor registration package:
  • Single booth: 1 exhibitor registration
  • Double booth: 2 exhibitor registrations
  • Detailed product description and corporate profile in the Technology & Business Process Showcase Directory
  • Recognition in the Conference Program as a Showcase vendor
  • Recognition on the ACTE Web site as a Showcase vendor
  • Special mention and listing in a Technology Report Section of the ACTE Global Business Journal (official publication with worldwide distribution).
Additional exhibitors must register with ACTE's registration department at 1-262-763-1902 or toll-free at 1-800-375-ACTE. The fee is $495 per person and is for the exhibit floor only. If exhibitors want to attend education sessions and participate in full conference activities then a full registration is required. Please go to www.acte.org to register online.

Laptop Information-Technical Requirements
Please be sure to review these requirements with your company IT representative:

Important!
If it is necessary for on-site technicians to configure your laptop due to a failure on your part to comply with the specifications, a charge of USD $100 per hour (minimum two-hour charge) will be assessed on your credit card before any and all work is initiated.


Your laptop must be equipped with the following:
  • Ethernet 10Base T Network Interface card (Please make certain this network card is installed before you arrive in Vancouver)
  • Cables necessary to connect your laptop to a 10Base T cable (RJ45)
  • Laptop must be configured with TCP/IP using DHCP (for Internet access) with no additional configuration (i.e., please ensure that NO VPN software or PPTP is loaded and that no proxy server is configured in your Internet browser settings
  • NT-domain logon must be "disabled"
  • Backup copy of your "presentation" on CD ROM or disk
Items to note:
  • If your laptop is Windows NT 4 / 2000 / XP, please have administrator's rights to the machine. Also, please consult with your company's tech support person to determine what service pack you are currently using.

Shipping

ACTE encourages each exhibitor to bring one piece of educational company collateral to have available at the booth. If you would like to ship collateral materials to the conference centre, please use the following address:

*VERY IMPORTANT*
*If you are shipping from outside Canada, you will need a Commercial Invoice which is a customs form. Exhibitors must complete a customs form and it is mandatory to include 3 copies with each box.

*Attached is the ACTE "Temporary Importation of Goods into Canada" Letter. Please include this letter with the Commercial Invoice. This will help expedite clearing of boxes through customs.

ACTE will have your boxes delivered to your designated space on Sunday, 1 May 2005. Should you wish to return ship any materials, please make shipping and financial arrangements on-site directly with UPS, FedEx or your customs broker. Materials remaining in the exhibit hall after the close of the Showcase on Monday, 2 May 2005, without proper arrangements, will be discarded.


Company Exposure

Please take the following steps if you would like additional company exposure:
  • Submit a 150-word company description to [email protected]. It will be included in the Technology & Business Process Showcase Directory and posted on the ACTE web site. Please submit by: 1 April 2005
  • Submit your logo in the following formats:
    • 300 dpi
    • 72 dpi and
    • Vector eps
These formats will allow ACTE to produce top-quality logos for conference materials, the web site and signage. Email to [email protected]. Due date: 1 April 2005
  • Please confirm the company name as you would like it to appear in the Exhibitor Participant listings, promotional materials, and exhibit booth signage via email to [email protected].

Giveaways

Exhibitors in the Technology & Business Process Showcase are not permitted to conduct independent raffles, giveaways, or add any additional signage or pop-up stands to the booth. ACTE will organize a drawing during the Showcase. If you would like to participate in the ACTE drawing, please contact Rachel Svec at [email protected] to arrange for your company's donation(s) and recognition.
