Membership/Event Policies & Waiver of Liability


By entering submit on an ACTE form and remitting payment, you expressly and knowingly accept the ACTE policies outlined below.

Misclassifications & Ineligible Registrations

All registrations and membership applications are reviewed to ensure the accuracy of member type and eligibility to register for an ACTE event or ACTE membership. ACTE reserves the right to refuse or cancel ineligible registrations and to change the Attendee/Membership Type and adjust charges accordingly if the information is found to be inaccurate. The following Member Type classifications are in use:
  • Corporate Buyers - Direct buyers of corporate travel products & services for their company and its employees. Buyers must receive compensation directly from the corporation and not via a supplier entity.
  • Government/NGOs/Faculty - University educators, representatives of government-run organisations, associations or other not-for-profit organisations.
  • Suppliers -  Provide products and services directly to the corporate travel industry. Account or Relationship managers providing travel management services for clients of a Travel Management Company (TMC) are included in this category. Consultants and providers of outsourced travel management services are also included in this category.
  • Students - Anyone currently enrolled full-time in a university.
  • Press -  Qualified bloggers, journalists and reporters for news dailies, financial publications, business travel publications and broadcast media registering expressly for the purpose of editorial coverage. Press credentials limited to two per media outlet. Advertising sales staff may not register as press.

Invoicing


Membership:


Invoices will be issued on request, and require payment receipt before membership is active.

Registrations:

Invoices will be issued on request, and require payment within 10-days to finalise registration; Early Bird rates do not apply. Registrations within 4 weeks of event date require payment via credit card.


Cancellation /  No-Show Policies

Global Summits and Regional Conferences

A refund equaling 50% of the paid registration fee will be given when cancellation notification is received in writing via email, fax or standard mail at least thirty (30) days prior to the event start date.  Cancellations received within thirty (30) days or no-shows are not eligible for a refund.

Education Forums, Networking Receptions, and Webinars

An ACTE credit less a cancellation fee will be given when cancellation notification is received in writing, fax or standard mail at least seven (7) days prior to the event start date.  Cancellations received within seven (7) days or no-shows are not eligible for an ACTE credit. Any credits for canceled registrations are available for use within twelve (12) months of the date they were issued. After twelve (12) months, the credit will expire without exception.

Around the World Programme

An ACTE credit less a cancellation fee of $150USD will be given when cancellation notification is received in writing, fax or standard mail at least thirty (30) days prior to the event.  Cancellations received within thirty (30) days are not eligible for an ACTE credit. Any credits for canceled registrations are available for use within twelve (12) months of the date they were issued. After twelve (12) months, the credit will expire without exception.

Membership

ACTE memberships are not eligible for a refund or an ACTE credit.

Transfer Policy

Only one transfer is permitted per original registrant. The individual submitting the transfer request is responsible for all financial obligations (any balance due) associated with the transfer, including any adjustments made based upon membership status. Badge sharing and splitting are strictly prohibited.

All transferred event registrations and transferred ACTE memberships will incur a regional transfer fee per transferred registration.

Administrative Fee Policy

Any change to a registration or membership, including the addition or deletion of a promotion code, will incur a regional administrative fee payment.

Event Cancellation Policy

If an event you are registered for is cancelled due to reasons beyond ACTE's control, ACTE reserves the right to retain a regional processing fee for all conference registrations.

Invitation Letters

An invitation letter for Visa purposes can be issued once ACTE has received the registration and payment for a particular event. The registration fee is non-refundable if the Visa is denied. All requests for an invitation letter must be in writing. Please email requests to [email protected].

Waiver of Liability

By completing an ACTE registration form, you, on your own behalf and on behalf of your heirs, personal representatives, and assignees, hereby knowingly and freely release, indemnify and hold harmless the Association of Corporate Travel Executives (ACTE), and all of their officers, directors, managers, partners, members, employees, and volunteers (collectively, 'released parties') from all claims, demands, actions, rights of action, or other legal rights to claim compensation for any loss or injury (including death) which you may sustain as a result of negligence or fault, or the condition of the premises, or any other cause whatsoever, whether loss or injury occurs while participating in, going to, or coming from such activity.

As a result, you acknowledge that you are able to participate in ACTE events and/or membership and hereby assume responsibility for your own well-being. You expressly agree that this waiver and release agreement is intended to be as broad and inclusive as permitted by Law wherein such activities may occur, and that if any portion hereof is held invalid, the remainder hereof shall continue in full force and effect.
