How Do Outsourcing and Procurement Affect Travel Management?

Stockholm, Sweden
Radisson SAS Royal Viking Hotel
5 April 2005

There's been a quiet revolution going on within the corporate world in the last few years. Purchasing has been consolidated and centralized. Corporate travel has not escaped this transformation. It has resulted in many curious configurations of roles and responsibilities between travel procurement and travel management, sometimes even resulting in total outsourcing of the travel management function.

Another not-so-quiet revolution has been occurring external to the corporation -disintermediation. Facilitated by technology improvements, travel vendors are eschewing the old model of working through third parties in favour of establishing direct relationships with the corporate buyers.

Meetings and events are still often poorly managed; companies could achieve phenomenal savings by proper outsourcing and careful purchasing methods.

The influences of procurement and disintermediation on business travel are up for discussion at the upcoming Stockholm Forum. Seasoned procurement and business travel professionals will offer insights, solutions and advice to attendees on achieving success in this new environment

The purpose of this white paper is to create an open industry debate on the way forward with regards to distribution, focusing on the recent developments within this area, especially in relation to the impact of GDS deregulation on corporates, airlines, travel management companies and GDS companies. The paper will also attempt to evaluate the booking costs of purchasing tickets through different channels. A Nordic update will also be provided.

13:45 p.m. - 15:00 p.m. Total Cost of Travel
In the 1980's travel managers looked at the costs connected to the actual flight including frequency, service, etc. Since the mid-1990's, inspired by the low cost carriers, travel managers have increasingly been successful in cutting the costs of airfares, spilling over to hotel rates as well.
But is it really cost efficient to only look at the direct costs?
The whole distribution chain needs to be taken into consideration in order to successfully cut a company's travel costs.
Isn't it time to look at the total cost of travel?

People in the Nordic region, the Swedes in particular, are a conferencing and meeting intense people. But the management of the related costs has not been as intense compared to other parts of the world. How come efforts in improving meetings management skills have not been as successful here? Why has strategic meetings management not been on the corporate agenda and why are the meeting costs not considered worth looking into? Meetings management is as well a sustainability issue - how come?
